V. Page Formatting

1. What are the methods through which margins can be changed? Explain.
Margins can be changed by two methods,
1. Page Style Dialog Box. 2. Changing Margins using rulers.
Using Page Style Dialog Box.
It is used when the user knows the exact value for the margins
The Following steps are used
Select Format -> Page
A Page style dialog box appears.
Click the Page tab,
In Margins group,
  • Type the new values in the spin boxes or use the spin arrows
  • Click the OK button
Changing Margins using rulers.
It is used when the user not knowing the exact value for the margins
Following steps are used ;
  • If the ruler is not displayed in the screen,
  • Click on View -> Ruler
  • The gray area of the ruler indicates the margin's top area.
  • The mouse pointer is then moved in between the gray and white area of the ruler.
  • When the pointer is in the right spot, it changes into double head arrow.
  • Then, the margin guide is dragged to a new location
2. Explain the steps in changing Page Orientation and Paper size.
The two types of page orientation are (i) Portrait ii)Landscape.
Portrait
  • Length of a document will be more than the width is called portrait.
  • It is a default orientation
Landscape
  • Width of a document will be more than the length is called landscape.
To change the paper size,
The following steps are used:
click on the Format -> Page
The page style dialog box appears
Click the Page tab,
Select the paper format from the Format drop-down list in the Page Format section. Or
Enter the values in the Width and Height spin boxes.
To change the orientation
Portrait or Landscape radio buttons are used


3. How will you create a Header and Footer?
Header
  • Some remarks added at every page of the document of the top is known as Header
To create a header,
In Page Style dialog box,
Select Header tab
  • The Header on check box is clicked.
  • Four spin boxes are also displayed.
  • In those spin boxes enter the value for Left , Right Margin , the header height and spacing
  • Click on ok
  • Once the header is created, the text to be included
To insert page numbers
  • Click on Insert - > Fields - > Page Number
To include normal text,
simply type the text where you want it
Footer
  • Some remarks added at every page of the document of the bottom is known as Footer
To create a Footer,
In Page Style dialog box,
  • Select Footer tab
  • The Footer on check box is clicked.
  • Four spin boxes are also displayed.
  • In those spin boxes enter the value for Left, Right Margin, the Footer height and spacing
  • Click on ok
Once the footer is created, the text to be included
To insert page numbers
  • Click on Insert - > Fields - > Page Number
To include normal text,
simply type the text where you want it

When the documents are longer than the page, normally some type of reference numbers are added on the page.
It is used to refer a particular page.
